Matrix Solutions 2020 dba Matrix Facility Services

Effective date: October 3, 2026

1. Who we are and what this policy covers

Matrix Solutions 2020, doing business as Matrix Facility Services (MFS), provides commercial cleaning services. This policy explains how we handle information through www.matrixfacilityservices.com, our business communications, and MFS Client Workspace, our private customer relationship management (CRM) application used by authorized MFS personnel. Privacy questions and requests: admin@matrixsolutions2020.com Business phone: 904-532-2413

2. Information we collect Information you provide:

We collect information you send when requesting a quote, contacting us, or working with us. This can include your name, business name, email address, telephone number, business or service address, facility size, cleaning requirements, and information included in your messages. CRM information: Authorized personnel may record business contact details, client and prospective-client relationships, service interests, proposals, opportunity stages, follow-up tasks, communication preferences, and business notes. Website usage information: Wix and any enabled website tools may process technical information such as IP addresses, browser and device details, pages visited, and cookies or similar identifiers. The information collected depends on the tools enabled and your cookie choices. See Section 6. Connected Google account information: When an authorized MFS user connects the business Gmail account, MFS Client Workspace receives the account's verified email identity and authorization tokens. See Section 4 for the connection's specific permissions and use. Please do not submit passwords, payment-card details, Social Security numbers, medical records, or other sensitive personal information through our general quote-request form or CRM notes.

3. How we use information

We use information to respond to inquiries; prepare quotes and proposals; coordinate and provide services; maintain business relationships; manage follow-ups and communication preferences; administer and secure our website and CRM; and meet applicable recordkeeping and legal obligations. Where appropriate, we may send business updates or marketing communications, subject to applicable requirements and your preferences. You can ask us to stop marketing emails by replying to the message or contacting admin@matrixsolutions2020.com. If a message includes an unsubscribe link, you can use that link. Service-related communications may continue when needed for an active business relationship.

4. Gmail connection and Google user data

MFS Client Workspace connects a business Gmail account only after an authorized user grants permission through Google's authorization screen. The connection currently requests basic account identity and permission to send email through Gmail. It does not request permission to read the inbox, import mailbox contents, or delete messages. We do not receive your Google password. The CRM stores the connected account's email address, granted permissions, connection date, and an encrypted refresh token on the server. Authorization tokens are kept separate from ordinary CRM contact records and are not displayed to CRM users. At the time this draft was prepared, the connection saves authorization and campaigns remain drafts; automatic delivery is not active. Once delivery functionality is implemented and enabled, Gmail sending permission will be used to deliver communications explicitly initiated or enabled by authorized MFS users. Message contents and recipient addresses will be sent to Google to deliver those emails. Google account information and authorization data are used only to support the disclosed CRM connection and communication features. We do not sell Google user data, use it for advertising targeting, or use it to train general-purpose artificial intelligence or machine-learning models. Human access to Google user data is limited to circumstances permitted by Google's policies, including specific user consent, necessary security investigations, or legal obligations. MFS Client Workspace's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements: https://developers.google.com/terms/api-services-user-data-policy You can revoke the application's access through your Google Account's third-party connections settings: https://myaccount.google.com/connections Revocation prevents further authorized Google API access but does not automatically delete CRM records or emails already delivered. To request deletion of stored connection information, contact admin@matrixsolutions2020.com. If we add permissions or materially change how Google data is used, we will update our disclosures and obtain any required authorization before that change takes effect.

5. When information is shared

Authorized MFS personnel can access information needed for their work. Our private CRM is shared with approved accounts. When multiple people use the same approved account, they can access the same CRM records. We use service providers to operate our website, CRM, storage, and communications. These include Wix for the website, Google for connected Gmail services, and OpenAI Sites and its hosting infrastructure for the CRM. Providers process information as needed to operate these services under their applicable terms and privacy policies. Information may be processed outside your state or country. We may disclose information when required by law or to protect rights, investigate misuse, or maintain security. Any sharing of Google user data remains subject to Google's applicable restrictions. We do not sell business contact information or Google user data.

6. Cookies and website tools

Our website uses Wix, which may use cookies and similar technologies for site functionality, security, and measurement. Additional analytics or advertising tools, if enabled, may use their own cookies and process usage information. Google Tag Manager, when present, manages tags; the information collected depends on which tags are configured. You can manage cookies through your browser and, where available, the website's cookie settings. Blocking certain cookies may affect website functionality. External sites and third-party services have their own privacy policies.

7. Storage, security, and retention

We use access restrictions and appropriate technical measures to protect information. Gmail refresh tokens are encrypted on the CRM server. No method of storage or transmission can guarantee complete security. We retain business information as needed for inquiries, service relationships, operational purposes, and applicable legal obligations. Connection credentials are retained while the connection is needed, unless deleted following a request or administrative action. When information is no longer needed, we delete it or arrange for its deletion, subject to applicable obligations and provider backup or retention processes.

8. Your choices and requests

Contact admin@matrixsolutions2020.com to request access to, correction of, or deletion of information we hold about you, or to update communication preferences. We may need to verify your identity and may retain information necessary for legal obligations, security, or an ongoing service relationship. Any additional rights that apply depend on your location and applicable law.

9. Children

Our business website and CRM are intended for business use and are not directed to children under 13. If you believe a child has provided personal information, contact us so we can investigate and address it.

10. Policy updates

We may update this policy as our services or practices change. The published version will show its effective or updated date. Material changes to Google data use will be disclosed before the new use begins, with any required consent obtained.
